The single most common cause of security-deposit disputes is disagreement over what was damaged versus normal wear and tear. A move-in inspection checklist creates a dated baseline of the unit's condition; the matching move-out checklist shows exactly what changed. With both signed by the tenant and landlord — ideally with photos — deductions become defensible and tenants know what to expect back.
Several states require landlords to provide a written statement of condition at move-in and an itemized list of deductions at move-out. Even where it isn't required, a signed, dated checklist is the strongest evidence in a deposit dispute. Always check your state and local law — this tool is not legal advice.

Both parties should keep a signed copy. Landlords typically retain the original; tenants should request one for their records.
